On-Campus Housing Information

On-Campus Housing Request Deadline: July 14, 2008

Housing Requests and Deadlines

On-campus housing may only be requested by participants who have registered and paid for the conference. Housing requests must be made in advance of the conference and cannot be processed on-site.

Requests will be accepted until Monday, July 14, 2008 or until the limited number of rooms available is sold out. Due to the large demand for on-campus accommodations, the early submission of a request and payment is recommended.

Important: Payment for accommodations is due at the time of request and requests will not be processed until payment in full is received. Telephone requests are not accepted. The following payment methods are accepted:

(1) Credit card (MasterCard, Visa, American Express or Discover).  The request and credit card payment are submitted online.

(2) Check payable to MIT in US dollars, drawn on a US bank. A request submitted online generates a form which must be printed, and mailed to MIT Conference Services with an accompanying check.

The Housing Request form is available at the link on the bottom of this information page. Any changes subsequent to submission of your request must be sent in writing by fax (617-258-7005) or email to conferences-www@mit.edu.

If your request for housing cannot be accommodated, you will be notified as soon as possible. If your request is approved, you will receive a confirmation by email which will include the address, telephone number and location of the assigned residence hall. This confirmation must be presented to the desk staff upon arrival at the residence hall. MIT staff retains the right to refuse entry to guests without proper identification and documentation.

About the Residence Halls


Traditional Residence Halls/Shared Baths
Accommodations are available in a non air-conditioned traditional MIT residence hall. The traditional halls do not offer private bathrooms; shared bathroom facilities are available on every floor.


All room types have twin-size (single) bed(s), a desk and chair, and a closet.

Children under six years of age may not be accommodated on the MIT campus. Cots may be reserved for children between the ages of 6 and 14 in double rooms only (limit two cots per room). All children staying in the dorms must be under the supervision of a parent or guardian at all times.

There are common lounge areas in each residence hall for informal gathering; refrigerators are located in some of these areas. Each building has vending machines and coin-operated laundry machines on the lower level. All non air-conditioned buildings are elevator-equipped.

General Amenities and Information
Guests are provided with sheets, a blanket, a pillow, and towels. Toiletries are not provided. Rooms are serviced daily (towels changed, waste receptacles emptied), and linens are changed weekly.


Each room is equipped with a telephone that only allows incoming and outgoing campus calls. All dorms offer complimentary wireless and wired internet access; you must register for access to the MITNet as a "guest" when initially connecting to your browser.

Check-in time for all residence halls begins at 3:00 PM. Departing guests must check out at the front desk by 11:00 AM. Front desk staff can arrange to hold luggage for a short time after check-out on the date of departure.

Parking


On-campus parking spaces are limited and are available only to persons registered for MIT on-campus housing. Parking is available only as a package coinciding with the dates of your housing stay. The non-refundable fee for on-campus parking is $16.00 per day. Parking reservations must be made and paid for in advance on the housing request form. A dashboard parking permit, indicating the assigned campus lot, will be provided upon check-in at the residence hall.

*Full Double: If you are booking and paying for your roommate, you should request a Full Double.
**Shared Double: If your roommate is sending in a separate request form and payment, you should request a Shared Double Room.
***Children's cots are available in double rooms only, limit two per room. Cots are only for children between the ages of 6-14.

Cancellation Policies

On-Campus Housing: All cancellations of on-campus housing must be sent in writing (via fax or email) to the MIT Conference Services Office. Written cancellations received on or before July 14, 2008 will receive a full refund (excluding any parking fees). After that date, refunds will be made less a penalty equivalent to the cost of one night’s stay; provided the cancellation is received no later than 24 hours prior to the scheduled date of arrival. No refunds (full or partial) will be granted for cancellations received within 24 hours of the scheduled arrival date or thereafter, nor for any nights the dormitory room is not occupied during a reservation period.

Parking:
Once paid, parking fees are non-refundable.
